Position Summary
The Intellectual Property Legal Assistant provides administrative and substantive support to attorneys handling trademark prosecution, patent filings, and IP-related litigation. This role is responsible for coordinating filings, maintaining deadlines, organizing documents, and assisting with the preparation of legal submissions. The position is 100% in-office at the Frisco location.
Essential Duties and Responsibilities
Trademark Support
- Assist in preparing and filing U.S. trademark applications and maintenance filings through TEAS.
- Maintain trademark docket and track all deadlines.
- Assist with collecting specimens, preparing office action drafts, and coordinating with foreign counsel.
- Organize and maintain trademark portfolios and client files.
Patent Support
- Assist with preparing and filing U.S. patent application documents under attorney direction (provisional, non-provisional, IDS, declarations, assignments, formal drawings).
- File documents through Patent Center/EFS-Web.
- Maintain and update patent docket deadlines.
- Coordinate communication with clients, inventors, and foreign associates.
IP Litigation Support
- Assist with preparation and filing of pleadings, motions, and briefs in federal court.
- Prepare and proofread tables of contents and tables of authorities.
- Assist in preparing discovery responses and document productions.
- Manage and organize document sets, including scanning, labeling, and bates numbering.
- Coordinate depositions, subpoenas, and related logistics.
- Assist with trial preparation (exhibit binders, witness lists, filings).
General Legal Assistant Responsibilities
- Maintain organized electronic and physical files for all IP matters.
- Prepare correspondence, memoranda, and routine legal documents.
- Communicate with clients, vendors, government agencies, and internal staff.
- Update and manage docketing deadlines across all IP matters.
- Assist with time entry, billing processes, and administrative tasks.
- Support multiple attorneys with calendar management and scheduling.
Required Skills & Qualifications
- 3+ years of experience as a legal assistant, preferably in intellectual property.
- Familiarity with USPTO procedures (TEAS, Patent Center/EFS).
- Experience with PACER/ECF for federal filings.
- Ability to prepare and proofread TOCs/TOAs for briefs.
- Strong organizational skills and attention to detail.
- Proficiency with Microsoft Office and Adobe Acrobat; experience with IP docketing software preferred.
- Ability to manage deadlines and work in a fast-paced environment.
- Strong communication skills—written and verbal.
